Vendor Terms and Conditions

In consideration for the opportunity to display and demonstrate equipment at the 2026 US Composting Council Equipment Demonstration Day at Recology Ostrom Road, Wheatland, CA on Thursday, February 5, 2025, we, the undersigned Vendor, agree to the following terms and conditions:
  1. By Wednesday, December 31st, 2025, Vendor shall provide to the US Composting Council and Recology Inc. proof of the following insurance:
    • 1.1 Certificate of insurance for Comprehensive General Liability coverage of not less than two million dollars ($2,000,000) per occurrence and any other appropriate coverages in the same amount for the display and demonstration of Vendor’s equipment. The certificate shall name the US Composting Council and Recology, Inc., as additional insureds.
    • 1.2 Auto Liability coverage of $1M minimum for the companies delivering the equipment to the site.
    • 1.3 If employees of the exhibitors will be on site, present proof of Workers’ Comp. coverage at Statutory Limits with $1M Employers Liability.
  2. Vendor shall indemnify, defend and hold harmless, the US Composting Council, Recology, Inc.., and each of their employees, agents, servants, representatives, contractors and licensees from and against any and all liabilities, claims, injuries, losses, damages, actions and causes of action whatsoever arising from or related to the display and demonstration of Vendor’s equipment, including any damage to Vendor’s equipment, and whether or not caused by the negligence of Vendor or any other person.
    • 2.1 Vendor is required to provide two Certificates of Insurance (COI): one listing the US Composting Council as the certificate holder and the other listing Recology Inc. as the certificate holder. Below is the information for each certificate holder: US Composting Council 1053 E. Whitaker Mill Road Suite 115 Raleigh NC 27604 Recology Ostrom Road 5900 Ostrom Rd Wheatland, CA 95692
  3. The US Composting Council may discontinue or otherwise make changes to the display and demonstration of Vendor’s equipment if in the best interests of the conference or participants or for any other reason, as may be determined in the sole discretion of the US Composting Council.
  4. Vendor shall deliver the equipment to Recology Ostrom Road, 5900 Ostrom Rd Wheatland, CA 95692, between 8 AM and 4 PM starting on Monday, January 26th 2026 through Monday, February 2nd 2026. Equipment delivery is not allowed on Saturday, January 31st 2026 or Sunday, February 1st 2026 (weekend delivery will be considered on a case-by-case basis).,
    • 4.1 All equipment must arrive no later than Monday, February 2, 2025 @ 5:00 PM. LATE DELIVERIES WILL NOT BE ACCEPTED!.
    • 4.2 If delivery needs to occur outside of these hours, an alternative delivery schedule needs to be coordinated with the USCC and Recology at least three business days prior to delivery.
    • 4.3 The host site or USCC will not unload equipment. Vendor is responsible for ensuring company staff (or representative) is on site during time of delivery to unload the equipment.
    • 4.4 Vendor must inform USCC of estimated arrival date and estimated move out date.
    • 4.5 Vendors will be provided with a Shipping & Logistics Document to aid in their planning.
  5. All vendors shall provide the US Composting Council with one photo for each piece of equipment to be demonstrated along with a brief description of each piece of equipment. The photo and description should be sent electronically to Sam Dixon (sdixon@compostingcouncil.org). Vendor consents to use any of the photos for promotional purposes at the sole discretion of the USCC.
  6. No equipment can begin loading out until AFTER 4 PM and/or after the last attendee bus has departed on the day of the show.
  7. Vendor agrees to send at least one representative to attend two mandatory planning meetings the week-of. Specific times and locations to be determined.
    • 7.1 There will be two mandatory vendor meetings before the week-of. One will be on Wednesday, December 17th and the other on Wednesday, January 15th. Vendor employees that will be on-site the week of are required to attend the January 2026 meeting.
  8. All motorized equipment shall include at least one fire extinguisher with a minimum rating of 4-A:60-B:C.
  9. Vendor agrees to abide by the facility’s NO SMOKING rule. NO EXCEPTIONS. Vendor is expected to inform on site staff of this policy beforehand as well
  10. Vendors shall provide their employees with their own Personal Protective Equipment. A hard hat and reflective vest or outer shell are required. Other PPE, including ear, nose, throat and eye protection, are optional.
  11. Refund Policy: The USCC will issue a 100% refund for withdrawals made on or before December 15th, 2025, less $250 administrative charge. The USCC will issue a 50% refund for withdrawals made between December 15 and December 31, 2025, (including those dates). No refunds will be processed after December 31, 2025.
  12. The US Composting Council will be responsible for coordinating the fuel needed for the event. The vendor is responsible for payment of fuel.
  13. The US Composting Council will be responsible for coordinating a power wash vendor for the event. Vendors are responsible for payment if they choose to have their equipment washed
  14. Vendors must lock & tag out equipment if attendees will be climbing in or on the equipment during the discussion time.
  15. Support Equipment Disclaimer: It is the responsibility of each equipment vendor to supply their own support equipment.The USCC cannot guarantee that support equipment will be provided if a national support equipment sponsor is not secured.
